Someone on a building site or in the middle of a treatment cannot pick up, and whoever does not get through calls the next business. An AI phone assistant answers these calls, clarifies what they are about and passes the result to you so that you can call back or confirm an appointment without further questions.
First: which calls actually come in?
Before anything is built, we look at your calls over the past weeks: how many, when, about what? Often five or six concerns make up most of them. Those are what the assistant takes over; the rest goes to you.
When the assistant takes over
You decide: only outside opening hours, when the line is busy, when nobody answers after a few rings, or always. Your number stays; calls are only forwarded in those cases.
What it says — and what it does not
The assistant knows your services, hours, service area and the answers to the most common questions. It does not promise prices, appointments that are not free, or professional assessments. For emergencies, complaints or anything it cannot answer reliably, it takes the number and promises a call-back.
Appointments and call-backs
Appointment requests land in your calendar or in LivaLink, the booking system I developed — as a proposal to confirm or booked directly, as you prefer. Call-back requests reach you with name, number, concern and urgency, by email, text message or in your system.
For practices: organisational matters only
In medical and therapy practices the assistant handles appointment requests, opening hours and organisational questions. It gives no medical information. Which health-related details may be asked for at all, and with which provider, we clarify before launch.
Data protection and disclosure
At the start the assistant says that an AI is speaking — required by the EU AI Act since August 2026. Calls are not recorded; what is stored is the summary of the concern. Providers with a data processing agreement are used, with processing in the EU where possible.

If you only get a few calls a day and can answer almost all of them yourself, a good voicemail with a call-back promise is cheaper. And conversations about trust or difficult news belong with a person.

Frequently asked
Do callers notice they are talking to an AI?
Yes, and they should. The assistant says so at the start, as the AI Act requires. Most people mind that less than an endless ringing tone or a voicemail nobody answers.
What does an AI phone assistant cost?
There are two parts: the set-up, which depends on scope and integrations, and running costs per call minute for telephony and the language model. I estimate both for your actual call volume after the first conversation, before you decide.
Do I have to change my phone number or system?
No. Your number stays. A forwarding rule is set up for the cases in which the assistant should take over — most phone systems and mobile contracts support this.
What happens in an emergency?
If the assistant recognises an emergency, such as water damage, it passes it to you immediately as urgent or gives your emergency number, depending on the set-up. It does not try to help itself.
Is it GDPR-compliant?
If set up correctly, yes: disclosure at the start, no recording, providers with a data processing agreement, minimal storage and an entry in your privacy policy. You receive the documentation.
